Terms of participation
1. Prohibited matters regarding registration
The following acts are prohibited. If we find out, we may take measures such as canceling your participation.
- Creating a duplicate account
- Transferring your account
- Any other actions that are deemed to be intended to disrupt the running of the tournament.
2. Personal Information
When entering your personal information, please agree to the following conditions before registering.
In the "Japan Automotive AI Challenge 2025" (hereinafter referred to as the "Competition"), hosted by the Society of Automotive Engineers of Japan (hereinafter referred to as the "Organizer"), personal information such as name, affiliation, email address, and telephone number obtained from participants (hereinafter referred to as "Personal Information") will be handled as follows.
① Purpose of use of personal information
The personal information we collect will be used for the following purposes:
- Contact and information from the organizers regarding the event
- Providing information to tournament sponsors (see 3 below)
- Displaying information on the tournament website, etc. (e.g. "Team name, affiliation, name, etc.")
- Survey to be conducted after the end of the tournament (satisfaction with the tournament, career paths, employment status, etc.)
② Consignment of personal information
We may outsource all or part of the handling of personal information we have acquired to a third party.
In such cases, we will select appropriate contractors, conclude contracts regarding the protection of personal information, and provide necessary and appropriate supervision.
③ Provision of personal information to third parties
The organizers may provide participants' personal information to third parties (sponsor companies) as follows:

Affiliation (school name/company name)
E-mail address
Self-introduction, presentation materials, etc.
- (2) Provided to
Gold and Platinum class sponsors of the tournament
- (3) Purpose of provision
The purpose is for sponsoring companies to interact with participants, scout, and conduct recruitment activities.
- (4) Provision method
Sharing of materials or data in a viewable format
- (5) Obtaining consent for provision
By participating in this tournament, you are deemed to have agreed to the provision of your personal information to third parties as described above.
By agreeing to these terms and conditions and checking the consent confirmation box in the registration form, you will be deemed to have consented to the provision of your information to third parties as described above.
④ Management of personal information
The organizers will be responsible for managing all personal information collected appropriately to prevent leakage, loss or damage and for other safety management purposes.
⑤Requests for disclosure, correction, suspension of use, and deletion of personal information
If you wish to disclose, correct, stop using, or delete the personal information you have provided to us, please contact us at the address listed below.
Please note that we may ask you to verify your identity before responding to your request.

3. Event Cancellation
In the event that it becomes difficult to use the facility due to a natural disaster, incident, infectious disease, etc., or if there is an unavoidable reason such as a request from the government or administrative agency to refrain from holding an event, the event may be canceled without prior notice. It may be canceled.
4. Changes to the Dates and Programs
If there is an unavoidable reason, such as a natural disaster or accident that disrupts the use of the facilities or an accident occurs during the exhibition period, the exhibition period and program may be changed without prior notice.
5. Agreement to the Terms and Conditions
Participants will not be able to participate unless they agree to all of the terms of participation.
6. Compliance with laws and regulations and consideration for the surrounding area
Please comply with laws and regulations during the exhibition period. Also, do not engage in any behavior that may cause discomfort to residents near the venue. If you violate these, your participation will be discontinued.
7. Shooting
Taking photos and videos is permitted within the venue, but may be refused if it is a nuisance to other participants. Please note that the organizers (including the competition management company, supporting organizations, and tournament sponsors) will be recording the content of the activities, and participants may be the subjects of their recordings. Please note that such footage may be used for the organizers' public relations activities, etc.
8. Cancellation of participation
If you do not follow the organizer's instructions and engage in prohibited acts, acts that cause inconvenience to third parties, or acts that interfere with smooth operations, or if there is a risk of doing so, we will ask you to leave. You may.
9. Liability
The Society will not be held responsible for any damage caused to visitors due to event cancellation, program changes, lecture cancellations, illegal video/recording, equipment failure, orders to leave, etc. In addition, any disputes that arise with other participants, viewers, or the general public will be resolved by the participants themselves, and the Association will not be involved in any way.
